Peoplebank focuses on IT & Digital recruitment offering its services throughout Australia, Hong Kong and Singapore. They were founded over 30 years ago in 1990 and have since grown organically and through acquisitions. In 2019, PeopleBank and the Chandler Macleod Group merged to form one of Australia’s largest multi-specialist talent solution companies and through that growth, PeopleBank has maintained its strict specialist focus on the IT and digital recruitment market. Their purpose: to connect and enable so everyone can make their difference.

With over 17 years as a Bullhorn customer, PeopleBank has long invested in technology as a competitive advantage. When Laura Byrne, Head of Digital Strategy and Innovation, returned to the business in early 2024, the question was no longer whether AI would matter, it was about how Peoplebank could leverage it across their business in a way that would drive real impact. After 1,000 hours of research across 120 vendors, they chose Bullhorn Amplify. Within the first pilot, they screened three times more candidates than their recruiters could reach manually and saved 272 hours of recruiter time.

Pressure on capacity

Pressure on capacity

Prior to implementing Bullhorn Amplify, Peoplebank faced a demand issue as it was outpacing recruiter capacity. Recruiters were stretched doing everyday tasks while trying to connect with qualified candidates and maintain relationships with clients, Speed to market was a growing expectation from clients and candidates alike, but the existing setup made rapid responses from consultants difficult to maintain at scale.

The tech stack had grown organically so recruiters were frequently pulled out of their primary workflows which made it hard to run consistent processes across the team.

On top of this, the quality of incoming applications was declining. With candidates using AI tools to tailor CVs broadly rather than specifically for a role the applicant pool was getting harder to manage.

An after hours gap

After normal business hours, there was no coverage. So candidates applying outside business hours sat in a queue until the next morning. For Peoplebank, that lag was a real disadvantage as it was missing out on good IT talent.

Byrne spent her first year back with Peoplebank researching AI options thoroughly, this included more than 1,000 hours of evaluation assessing over 120 vendors. The brief was clear though, they wanted to find a connected approach to recruitment that would improve capacity and speed, close the after-hours gap, and make recruitment more about the relationships, not less.

We prioritised impact over quantity. We were very specific and intentional about what Peoplebank were doing. We saw the opportunity for AI to help us to make recruitment more human rather than less.
Laura Byrne Head of Digital Strategy and Innovation, Peoplebank

Bullhorn Amplify: meeting recruiters where they are

After evaluating the market extensively, PeopleBank chose Bullhorn Amplify.

Byrne noted, “Amplify is an ecosystem, not a point solution.” This meant rather than solving one narrow problem, Amplify gave PeopleBank the ability to address challenges across their full recruitment lifecycle without having to leave their core platform. Amplify meets PeopleBank’s recruiters where they already are on a daily basis. This allowed Byrne and her team to remove any friction entirely from their workflow.

As a buy-first business without a large internal development team, PeopleBank needed the ability to configure and build solutions without heavy technical overhead. Amplify gave their team genuine flexibility and room to test and innovate upon their initial use cases. For example, PeopleBank could decide exactly how autonomous or human-led each workflow would be. This was essential to comply with their ethical approach to AI policies and helped them to design experiences that worked for the neurodivergent candidates common in IT and technology recruitment.

When implementation began in July 2025, PeopleBank focused first on a single high-impact use case: an after-hours AI screening agent. They named her AIDA (short for AI Aid) following a staff naming competition. By early August, AIDA was live!

272 hours saved. 3x more candidates screened.

In order to truly test the effectiveness of AIDA, Byrne knew they needed a large set of data so they allowed 1,000 candidates to go through AIDA’s screening process.

The results on capacity were clear. With AIDA, People were able to screen 3x the number of candidates versus what a recruiter could feasibly do.

Their candidate experience results were equally strong. 50% of candidates offered the screening via AIDA chose to do so and of that group 80% immediately opted in to be considered and screened for additional roles. Additionally, Peoplebank saw a 4.4 out of 5 satisfaction score from the candidates that completed the screening.

The screening offered by Peopleback extended the working day without adding headcount, covering the after-hours window that had previously gone unserviced. Candidates who applied in the evening were screened, assessed, and engaged before the team arrived the next morning. This time saving for their team equated to 272 hours.

There really shouldn’t be a scenario where any job takes longer than four hours for something to be happening. That’s not something we could have said twelve months ago.
Laura Byrne Head of Digital Strategy and Innovation, Peoplebank

Redefining what smart recruitment looks like

Byrne continues to spearhead the expansion of Amplify use cases rapidly across the business as they refine what it means to measure recruiter productivity.

The traditional metrics of recruitment businesses including number of phone screens per day, CVs submitted and authority to represent are all under review. As automation takes on more of the transactional work, and AI screens their candidates, Peoplebank’s goal is to identify what a truly augmented, high-performing recruiter looks like and build the measurement framework to match.

AI doesn’t replace recruiters, but it does change our expectations around speed and responsiveness.

Boosting engagement using Automation https://www.bullhorn.com/au/customers/engageus/ Fri, 19 Dec 2025 01:06:55 +0000 https://www.bullhorn.com/au/?post_type=case_study&p=80235

Engage evolved from a group of labour hire agencies, transforming into a boutique specialist recruitment & labour hire agency in 2015. Today, the agency operates nationally across Australia, supporting diverse industries with a focus on industrial services, waste management, manufacturing, construction and energy.

With a dedicated team and a wealth of industry expertise, Engage prides itself on their deep industry knowledge and long standing client relationships – many of which span over ten years through long term preferred supplier agreements.

The challenge

Engage’s previous recruitment system, while supportive for many years, became increasingly challenging and costly to maintain. The lack of integration and flexibility made it challenging to keep a dispersed recruitment team connected and limited the ability to to effectively engage candidates.

To remain competitive, the team recognised the need for a more connected, modern platform that could streamline communication, support collaboration across multiple locations and provide the tools to engage candidates more effectively.

We started to explore market options when our teams were consistently reporting greater evidence of disconnected and disengaged workforce. We wanted to ensure that we were maintaining contact with our entire workforce. Changing our approach to communication and context, ensuring we’ve got multiple digital methods of access and really coming down to that balance between a cost effective structure and a new age product.
Jacob Stinson Operations Manager, Engage

The solution

After a thorough assessment of available recruitment systems, Engage selected Bullhorn as their CRM and ATS. The platform offered a modern, integrated solution capable of automating administrative tasks while improving recruiter efficiency.

“Bullhorn is cost-effective, and the inclusions, so things like automation and onboarding are inbuilt products. They are native to the system a lot more than the other systems developed for us,” said Stinson.

The implementation was a collaborative effort between Bullhorn and their Marketplace partner Kyloe, marked by consistent communication and support from account managers. The system was tailored to Engage’s unique workflows, enabling recruiters to leverage automation, advanced search capabilities, and dashboards. This streamlined candidate management while preserving the integrity of a 17-year-old database. Simultaneously, the platform’s dashboards gave their leadership team clear, real-time visibility into operations, enabling them to make informed, data-driven decisions.

The results

Since adopting Bullhorn, Engage has dramatically cut down on administrative work, freeing recruiters to focus on building relationships and delivering results. Since their ‘go-live’ in March 2025, Engage has automated over 49,000 actions, saving around 1000 hours of recruitment admin time.

“Bullhorn has given us the opportunity to be upfront and competitive. We’re representing our candidates in a similar way to majority of competitors and it’s given us the opportunity to reach candidates quickly, and reduce admin in a tighter market.” said Stinson

With an extensive 17-year-old database, Engage recognised the need for a major data clean-up. Using Bullhorn Automation, the team continues to re-engage inactive and passive candidates, reduce outdated records, and refine the database into a more accurate, manageable resource.

Candidate engagement has improved significantly, with recruiters now connecting with the right people rather than sending mass communications. “The majority of our support, or benefit that I’ve seen at the moment, is we’ve gone mass from non-direct comms to candidates to being able to better search our candidate group and engage with those who are actually relevant,” Stinson explained.

He continued, “At the leadership level, Analytics provides real-time visibility into performance, enabling data-driven decisions and better oversight of the team, and we continue to refine these reports.”

By combining automation with actionable insights, Bullhorn has transformed both the recruiter experience and the agency’s operational effectiveness, bringing Engage a competitive platform in a tight labour market.

The future

Looking ahead, Engage plans to expand its Preferred Supplier Agreements with existing clients and grow its team on the East Coast. Bullhorn will play a key role in supporting this growth by enabling visibility and job sharing across offices, improving automation, and providing insights to guide performance management.

Fetch Recruitment turns data into performance https://www.bullhorn.com/au/customers/fetch-recruitment/ Tue, 25 Nov 2025 22:58:55 +0000 https://www.bullhorn.com/au/?post_type=case_study&p=80116

Fetch Recruitment has been sourcing top talent within the Built Environment for more than 14 years. Today, the agency operates nationally in Australia with offices in Melbourne and Perth, and also maintains a presence in the UK. Fetch Recruitment is a trusted talent partner in the construction, civil infrastructure, mining, and manufacturing sectors.

At its core, Fetch believes in providing true expertise to their clients and candidates. They go beyond the surface to deeply understand the industries and people they serve to build strong partnerships with both clients and candidates. Many of their recruiters come from a construction background and regularly visit client sites, giving them firsthand insight into the work they recruit for.

The challenge

Fetch Recruitment’s previous system lacked the insights they needed to effectively drive performance and growth across their business. It was outdated, giving only surface-level data, and was unable to provide meaningful analytics or predictive insights. “I’m a big believer that past performance is an indicator of your future success,” said Dan Musto, Director at Fetch Recruitment. “Our previous systems just could not give us that real insight.”

Everyone can go to Seek or LinkedIn, but only we’ve got access to our data on Bullhorn. How we use our data and how easy it is to surface people is key to our success. Bullhorn allows us to do both with ease.
Dan Musto Director, Fetch Recruitment

The solution

Fetch Recruitment chose Bullhorn as its CRM to unify data and operations across all offices. The platform offered the perfect balance of simplicity for busy recruiters and advanced search functionality for those looking to dig deeper into their database. “Bullhorn is fantastic”, stated Musto.

With Bullhorn, Fetch Recruitment can now surface candidates quickly using powerful search filters and parameters. “Everyone can go to Seek or LinkedIn, but only we’ve got access to our data on Bullhorn. How we use that and how easy it is to surface people is key to our success. Bullhorn allows us to do both with ease.” The platform’s seamless integrations with partners like TextUs and Astute Payroll have further enhanced efficiencies across the business.

The results

Since adopting Bullhorn, Fetch Recruitment has transformed how their data drives both consultant performance and client engagement. Their Civil Infrastructure team was the first to fully pilot Bullhorn Analytics and quickly realised its value. By logging each individual job rather than grouping placements within Bullhorn, the team gained detailed visibility into time-to-fill rates and performance trends. For example: “If we have 20 unique jobs, we can now see that 10 roles were filled instantly, five in one day, and the next five took two days,” Musto explained.

Musto realised how powerful this data insight was and how they could use it to strengthen client relationships. Fetch Recruitment can now show clients how job time-to-fill varies by state or highlight where hiring processes slow down outcomes. This transparency helps clients understand how their own processes impact hiring trends, improve forecasting, and make more informed hiring decisions. The pilot program’s success has meant it will be rolled out across every department.

Fetch Recruitment’s data-led approach means each consultant gets data that’s relevant to them, increasing trust and user adoption. “We use metrics to drive our consultants in the right way, as opposed to a blanket rule for all,” said Musto. With Bullhorn Analytics, each consultant receives tailored KPIs based on their performance history and industry. Musto stated, “Every permanent consultant gets bespoke KPIs based on their last 12 months of data, so it actually links to them. If they’re new to the business, they start with the 12 month business averages because they don’t have that history built up yet.”

Advanced data visualisation tools within Bullhorn Analytics, like OnPoint and Dashboards have given managers at Fetch Recruitment more visibility overall. “Instead of focusing on one challenge, we now look at an average of the business, which gives us a better oversight of the team,” said Musto.

Additionally, Fetch Recruitment utilises Bullhorn Automation to ensure their team provides a great candidate experience throughout the hiring process. The business has automated notifications, aftercare messages, newsletters, and re-engagement surveys so candidates receive consistent communication at every stage. Musto said, “Anyone who runs a large contract workforce should be using automation. It’s near impossible to consistently engage with all candidates without this support. Automation within your systems allows recruiters more time to engage on a larger scale.”

We use metrics [within Bullhorn Analytics] to drive our consultants in the right way, as opposed to a blanket rule for all.
Dan Musto Director, Fetch Recruitment

The future

Looking into the future, Fetch Recruitment aims to double its offices within Australia, expanding into two more states within the next three years. Bullhorn will continue to power their team and provide valuable data so the team can work with larger, national clients and deliver greater value at scale. “It’s all about partnering with the right clients and using our data to add value on a larger scale,” Musto said.

Streamlining operations with Bullhorn Automation https://www.bullhorn.com/au/customers/klc-recruitment/ Wed, 17 Sep 2025 00:30:06 +0000 https://www.bullhorn.com/au/?post_type=case_study&p=79830

KLC Recruitment, founded by Chris Sacco in 2009, is a dynamic recruitment agency with expertise in a diverse and increasing number of industries. Their size and wide variety of industry knowledge allows them to remain agile and responsive, and adapt to shifting market demands. KLC Recruitment’s areas of specialisation include finance, accountants, financial planners, insurance, disability, social services, aged care and corporate management roles.

We connected with Recruitment Manager, Jarrod Sacco, to explore how KLC Recruitment’s journey has evolved since adopting Bullhorn software—and why, for KLC Recruitment, choosing Bullhorn was ultimately an easy decision.

The challenge

When KLC Recruitment began to experience internal growth, they knew it was time to explore new ATS/CRM options. With more recruiters, clients, and candidates to manage, their existing platform quickly showed its limitations, especially in areas like reporting, administrative tasks, and monitoring candidate touchpoints. Staying in regular communication with relevant updates to candidates is key to maintaining a good reputation which is essential to standing out in a highly competitive industry. “You can create a pretty bad name for yourself pretty quickly if you’re not going back to candidates, and you’re not creating good relationships”, commented Jarrod.

As KLC Recruitment moved into more corporate and government recruitment, it became increasingly clear that their existing technology wasn’t built to scale with them. “Our old platform couldn’t provide reporting or if it could provide it, it took a lot of time”, remarked Jarrod. Manual admin tasks were taking up valuable recruiter time, impacting both candidate experience and service quality.

The solution

After an extensive search that included countless demos and recommendations from industry colleagues, KLC Recruitment landed on Bullhorn. This was largely due to its robust reporting capabilities and the potential for future scalability. Bullhorn not only met their current reporting needs but offered the flexibility and depth required to grow with them.

Automation was the second game-changing feature that caught the attention of KLC Recruitment. As their team expanded and took on more roles, the administrative workload increased exponentially. Bullhorn’s automation tools streamlined tedious back-of-house tasks, freeing up recruiters to do what they do best—build relationships.“There’s a thousand recruiters all doing the same thing. So it’s about how you can stand out”, Jarrod said.

KLC now uses Automation for everything from automated touch points with candidates, to follow-up reminders for recruiters, to generating interview documents at the click of a button. These time-saving automations ensure consistency and quality of service for both candidates and clients, while also reducing human error, allowing recruiters to continue to be recruiters, and not administrators.

We could save time and become more efficient. So in the end it was a pretty easy decision . A lot of programs do the same thing. But Bullhorn, we found, gave us that little bit extra that we needed.
Jarrod Sacco Recruitment Manager, KLC Recruitment

The results

Since implementing Bullhorn, KLC Recruitment has seen measurable improvements across their operations. From time-saving automations to smarter reporting, the platform has become a key driver of their continued growth.

Bullhorn’s flexible recruitment platform has allowed KLC recruitment’s team to expand while building and maintaining relationships with clients and candidates. Tasks that were previously manual and repetitive such as sending follow-ups, generating documents, and managing post-interview communication are now automated, giving recruiters valuable hours back in their day. “We’re working with a lot more candidates, and we want to make sure that everyone’s getting the same great service we’ve always delivered. So, working alongside automation, it can streamline some of the back of house, manual tasks that we need to do which gives us more time to be on the phone building those relationships with both clients and candidates”, Jarrod explained.

KLC Recruitment also now has greater visibility into their return on investment (ROI). They can see where the majority of their most successful candidates are coming from and which advertising platforms deliver the best results. “In the last 12 months, it’s been really helpful. This view on ROI is not something that we had accessibility to, so that’s been really eye opening for us”, Jarrod said. By understanding which advertising channels deliver the best ROI, the team has been able to allocate their budget on the most effective channels, leading to smarter spending and long-term savings.

Overall, Jarrod sums up Bullhorn by saying “We’re very conscious that we want automation to work alongside us and allow our team to do more. We want to be recruiters. We want to build those relationships. We don’t want to be passive and so Bullhorn Automation does the passive stuff for us, allowing us to do the active interactions like being accessible to people when they need us, to be on the phones and building relationships.”

Bullhorn has just given us the opportunity and the time to be better recruiters. Because it has allowed us to focus on the things that are really, really important. And that's our clients, our candidates and building relationships.

Enhanced customisation with Bullhorn https://www.bullhorn.com/au/customers/elective-recruitment/ Tue, 16 Sep 2025 23:58:55 +0000 https://www.bullhorn.com/au/?post_type=case_study&p=79838

After more than a decade in medical recruitment with a large agency, Emma Gordon co-founded Elective Recruitment so that she could focus solely on helping doctors navigate the complexities of their careers. The biggest focus for Elective Recruitment was to bring a human-first approach to medical recruitment. Their team’s passion for authentic conversations builds meaningful relationships where doctors are seen as people first. This focus at Elective Recruitment allows their team to understand doctors as individuals with lives beyond their careers and their recruiters aim to integrate doctors’ professional goals with personal well-being. This approach allows Elective Recruitment to deliver tailored opportunities and exceptional service every time.

The challenge

Elective Recruitment’s previous system struggled to keep up with the complexity of their tailored operations. Their business provides specialist services to doctors across the medical field from executive and permanent to contingent and locum opportunities, so they needed a system capable of supporting this full breadth of offerings. This was true on the client side, as well. As Gordon shared, “We recognise in our clients that one size does not fit all. So we needed a system that would allow us to do things in different ways for different clients.”

What seemed like a cost-effective option at the start quickly became inefficient, with essential features rendered unusable once customisation was added to suit Elective Recruitment’s needs. The lack of functionality created more admin, slowed processes, and limited their ability to serve clients and doctors effectively.

The solution

When evaluating new systems, Elective Recruitment needed a platform that could adapt to the varied needs of their clients and doctors. Gordon explained, “We had a very long wishlist of features for our new system, and only Bullhorn ticked all of our non-negotiables and a lot of nice-to-haves, as well.”

Knowing the importance of their next recruitment platform, Elective Recruitment did an extensive evaluation of a range of systems. Some were strong in permanent, and others in locum recruitment, but they all lacked the flexibility to support their full service offering. “There was only really Bullhorn that offered the full service, to cover all client options,” Gordon said. Focusing on ROI instead of price, Elective Recruitment chose Bullhorn for its ability to scale with them and the flexibility of the platform.

Powerful! That’s the keyword. Bullhorn is a system that allows you to nurture your network continually. That’s a really powerful resource for a recruitment business such as ours.
Emma Gordon Director, Elective Recruitment

The results

Bullhorn Automation has transformed how Elective Recruitment manages compliance and candidate care by taking the pressure off recruiters to remember and execute every detail. “Anybody running a recruitment desk will tell you how many balls they’ve got in the air…Now with automation we don’t have to remember. It takes the onus off the recruiter,” Gordon said. For example, automated reminders ensure international placements are compliant with visas and other essential documents, preventing issues like non-compliant doctors being onboarded or receiving the wrong communication.

For locum placements, automated surveys help identify workplace health and safety concerns early. Doctors have the chance to flag any issues, giving Elective Recruitment extra protection. These consistent, automated touchpoints create better communication and reduce risk. During the past six months alone, Elective recruitment has automated over 480,000 tasks, saving their team 16,000 hours.

“Our recruiters can spend all day working on inbound activity and be really busy, but actually not very productive because the work just doesn’t stop,” explained Gordon. Using Bullhorn Analytics, Elective Recruitment’s consultants get more clarity and direction on tasks that will have a real impact. “Bullhorn Analytics allows us to drill in on those clients that we’ve made revenue with, or clients who are at risk, or we’ve not spoken to in a while. It gives us a strategic approach,” Gordon said.

Dealing with the Bullhorn Support team has been a highlight for Gordon. “Bullhorn is second to none in the level of support…It’s seamless, it’s 24/7, it’s great!” she stated. The local support team is contactable via a number of channels and is always responsive to all issues, whether it’s a system issue or quick how-to question. Gordon said, “I am not a tech person at all, but when I’ve spoken to anybody from the support team, they speak to me in plain language and help me to understand what I need to do. The emails are clear. You can pick up the phone. The communication is straight away.”

Bullhorn Analytics allows us to drill in on those clients that we've made revenue with, or clients who are at risk, or we've not spoken to in a while. It gives us a strategic approach.
Emma Gordon Director, Elective Recruitment

The future

Looking to the future, Elective Recruitment are confident Bullhorn will continue to support their business needs and remain a core component of their operations. “We’ve built such a powerful system that’s unique to us, our business, and our processes that we could absolutely expand further with what we’ve got in place.” Gordon continues, “With Bullhorn, you could fit it into a hundred person business, and it would run itself. Obviously, we’re a small team. But the opportunity for growth is endless.”

Sirius https://www.bullhorn.com/au/customers/sirius/ Mon, 11 Aug 2025 05:07:13 +0000 https://www.bullhorn.com/au/?post_type=case_study&p=79638

Founded in 2003 by Managing Director Stephen Smith, Sirius has grown from a spare bedroom in Sydney to a national recruitment agency with over 35 employees. Today, Sirius operates across Sydney, Melbourne, and Brisbane, delivering recruitment services through its specialist brands: Sirius Technology (IT), Sirius People (Professional services), Industrious People (Blue collar), and Culminate Solutions (Workforce consulting). Since its inception, Sirius has built long-term client relationships and placed candidates across permanent, temporary, and contract roles. The business blends personalised service with innovative technology and automation as they strive for continuous growth, collaboration, and improvement.

At the heart of Sirius is a clear purpose: to transform how businesses and individuals achieve success through exceptional talent. Further guided by a strong values-led culture and their vision of ‘Supporting People Success’ the business embraces solutions like Bullhorn to create long-term partnerships and future-proof their business.

The challenge

As Sirius expanded nationally and added new specialist brands, they faced a key challenge. The business needed to scale while maintaining their brand’s people-first approach. “At Sirius, we’re constantly looking at how to evolve and scale in a way that keeps people at the centre of everything we do”, said Danielle Johnson, National Director at Sirius. Their existing systems couldn’t deliver the consistency, automation, or visibility needed across teams, and had repeated manual processes.

Furthermore, their previous marketing automation platform, Ortto, wasn’t integrated with their CRM which created significant roadblocks. Campaigns were difficult to track, reporting was inconsistent, and the wider team lacked visibility into marketing’s impact. Johanna Volos, Marketing Lead at Sirius explained, “This disconnect meant marketing data and candidate touchpoints were siloed from our sales teams.” For a growing recruitment agency, that kind of fragmentation was unsustainable.

I’d seen what Bullhorn could do years ago, and I knew it had only gotten better. We weren’t just looking for a database. We needed a platform that could scale with us, support automation, and keep our people focused on what matters: clients and candidates.
Danielle Johnson National Director, Sirius

The solution

With first-hand experience of Bullhorn from a previous role, Johnson knew the platform could help Sirius streamline processes, enhance reporting and drive consultant productivity. After evaluating a range of recruitment technology, Bullhorn stood out. Smith said, “We operate a diverse business that spans award-driven casual staffing, scheduling and rostering requirements, as well as contracting and permanent recruitment. For us, Bullhorn was the best solution to meet the needs across all areas of the business. What also stood out is Bullhorn’s forward-thinking approach—something I’ve always valued in my technology partners.”

“Implementing Bullhorn Automation became a turning point. It forced us to audit and rebuild our entire sales and candidate engagement process”, explained Volos. This process uncovered gaps in workflows, inconsistent consultant follow ups, training opportunities and manual tasks that limited their performance. Sirius’s thorough technology implementation and adoption has meant consultants are now guided by automated tasks that keep them accountable and free up their time for higher-value work.

The results

Since adopting Bullhorn Automation, Sirius has streamlined key processes including onboarding, follow-ups, job alerts, compliance reminders, and post-placement surveys. “Contact Scoring via automation has been a game changer”, said Volos. It’s given consultants clear visibility into which leads are engaging (and with what content), so they can prioritise warm contacts, personalise outreach, and build credibility earlier in the recruitment process. Sirius is best in class in database utilisation, actively using 87.5% of their existing database. Volos stated, “Bullhorn Automation helps us operate more strategically, efficiently, and collaboratively. It’s no longer just a marketing tool, it’s a business-critical platform shaping the way we deliver recruitment every day.”

Industrious People, Sirius’ blue-collar division, uses Bullhorn’s chatbot to automate first-stage screening. Bullhorn’s screener automatically filters out unsuitable candidates, only surfacing qualified applicants for review and follow-up. This has enabled their team to progress job-ready candidates within 2 hours and 33 minutes, a 99.3% reduction in screening time meaning consultants have more time to focus on engaging with top candidates. Furthermore by combining AI with automation to tap into their existing CRM of over 69,000 candidates Sirius has been able to rediscover and redeploy existing talent. 80% of placed candidates were already in their database and on average those placements only took 5 days.

With Bullhorn Analytics, Sirius has real-time visibility across all key metrics for their business. “Bullhorn Analytics has brought our operational, sales, and marketing strategies together under a single source of truth. It’s improved accountability, decision-making, and focus, turning data into a key driver of growth across the business”, said Johnson. Using Analytics, Sirius has achieved a 67% year-on-year increase in their temp/contract redeployment rate. On top of this, leaders have access to live dashboards that track activities, pipeline health, conversion rates, and job coverage, enabling targeted coaching and better forecasting.

Sirius has partnered with a range of Bullhorn’s pre-integrated Marketplace Partners to further enhance their recruitment tech stack. In particular, “the integration with our payroll system (Astute Payroll) has also been a major win, particularly for our temp and contract divisions. Having seamless connectivity between placement data and payroll has eliminated double-handling, reduced errors, and improved margin visibility, delivering both efficiency and financial accuracy”, Johnson explained. For their consultants the integrations with WorkPro for compliance and onboarding and VXT’s VoIP phone system have made the biggest difference.

Overall, Bullhorn has empowered Sirius to work smarter and focus more on building relationships instead of managing manual admin tasks. In this year alone, the business has saved over 13,000 hours using Automation, that’s the equivalent of 6.5 years of full time work for one person. Sirius’s experience with the Bullhorn team has been consistently positive and supportive too. “Our Account Manager, Joshua McCole is not only reliable and professional but incredibly sociable, making each conversation enjoyable and productive. Volos continued, “Their commitment to innovation and staying ahead of the curve is evident.”

Bullhorn not only supports our recruitment function it also provides first-class reporting tools for our leadership team. Our ongoing goal is to reduce administrative burden for our recruiters and sales staff, allowing them to focus on what they do best. Bullhorn helps us do that.
Stephen Smith Founder/Managing Director, Sirius

The Future

Looking to the future, Sirius will focus on further national growth and expanding its workforce solutions, with Bullhorn remaining central to their recruitment operations. “Bullhorn will continue to be central to our growth plans, powering automation across the contractor lifecycle, supporting data-led decision-making through analytics, and enabling scalable, consistent processes across all brands and locations. It’s the infrastructure we need to grow smarter, not just bigger”, Johnson said.

The Stepstone Group https://www.bullhorn.com/au/customers/the-stepstone-group/ Tue, 25 Mar 2025 12:00:13 +0000 https://www.bullhorn.com/au/customers/the-stepstone-group/

Introduction

Business development for recruitment agencies has never been more competitive. Agencies are under constant pressure to find new clients and deliver value beyond the traditional sales pitch. In this environment, intuition and persistence alone are no longer enough. Winning requires recruitment market intelligence — on real-time labor market insights, competitor behavior, and client needs.

The Stepstone Group, one of the world’s leading digital recruitment platforms, faced this challenge in the UK market. Through its brand Totaljobs, The Stepstone Group was determined to strengthen its recruitment agency prospecting strategy and equip its sales team with tools that would allow them to stand out. Enter Bullhorn Market IQ, a recruitment business development tool that transforms raw job posting data into actionable insights for sales and client engagement. With Market IQ, The Stepstone Group strengthened its prospecting strategy and achieved stronger results.

Why manual research slowed recruitment business development

The Stepstone Group had already established itself as a strong player in the UK, but competition remained relentless. Sales representatives were working hard to connect with prospects, but often lacked the depth of insight needed to make those conversations meaningful. Too much time was spent manually researching accounts, often without clear understanding of which prospects represented the greatest opportunity.

Meanwhile, competitors were targeting many of the same companies. Without differentiated competitive insights for recruiters, sales conversations risked sounding generic, making it harder for The Stepstone Group to stand out. Leaders realised that to scale business development effectively, the company needed to provide its teams with something more than a call list. They needed intelligence–data that would allow them to target the right prospects, walk into meetings prepared, and build trust through insight.

How Bullhorn Market IQ helped

Bullhorn Market IQ gave The Stepstone Group the visibility it needed to change the game. By aggregating and analysing billions of job postings worldwide across millions of websites, Market IQ provides real-time insights into what roles are being advertised and how competitors are engaging with the same prospects.

For The Stepstone Group, this meant sales representatives no longer had to rely on gut instinct or scattered research. Instead, they could identify exactly which companies were posting new roles, where gaps in coverage existed, and which opportunities aligned best with The Stepstone Group’s offerings. Market IQ also provided insight into competitor activity, showing where rival firms were placing jobs and giving The Stepstone Group a stronger position in conversations.

Armed with intelligence, The Stepstone Group’s sales teams shifted from a reactive to proactive business development model. Outreach evolved from generic calls to conversations rich with valuable, evidence-based insights.

Elevating client conversations

Market IQ revolutionised how The Stepstone Group connected with and engaged clients. Instead of opening a conversation with a pitch, sales representatives could begin with insights. They could reference specific hiring trends, point to competitor activity, or highlight roles that hadn’t yet been filled.

The shift transformed every conversation. Prospects began to see The Stepstone Group not as another supplier, but as a consultative partner who understood their challenges and could provide actionable labor market insights for recruiters. Clients often expressed surprise at the level of detail, with some even asking about the origin of the transformation. This transparency built credibility and helped The Stepstone Group stand out from competitors who lacked the same depth of knowledge.

As one business development manager explained, data-driven discussions opened doors that otherwise would have remained closed. By demonstrating an understanding of the client’s hiring environment, sales teams were able to speak directly to decision makers and engage them in more meaningful conversations.

The power of recruitment market data in action

Bullhorn Market IQ quickly proved its value for The Stepstone Group. Internal analysis showed that sales representatives who actively used Market IQ consistently outperformed their peers. Target attainment rates were higher and performance metrics across the board showed positive growth.

By reducing the time spent on manual research, Market IQ freed sales teams to focus more on direct client engagement. Representatives could prioritise the prospects most likely to convert, ensuring the effort was directed where it would have the greatest impact. Conversations became more consultative and more successful, as clients valued the added context and labor market insights for recruiters.

And the benefits extended far beyond immediate sales performance. The Stepstone Group also enhanced its brand perception in the market, positioning itself as a data-driven partner, rather than simply another recruitment provider. This positioning will continue to pay off as competition grows.

Preparing for tomorrow with market intelligence

For The Stepstone Group, the adoption of Bullhorn Market IQ represents a strategic shift in how BD enablement for recruitment teams is approached. Instead of relying on instinct, the company has embraced a data-driven model that scales effectively, drives smarter targeting, and strengthens client relationships.

Looking ahead, The Stepstone Group plans to expand its use of Market IQ to uncover additional opportunities across its markets. With the recruitment industry showing no signs of slowing, harnessing recruitment market intelligence will remain a key differentiator for firms aiming to stay ahead.

The Stepstone Group’s experience makes the case clear: in today’s market, data drives growth and offers a true competitive edge. With Bullhorn Market IQ, The Stepstone Group has shown what’s possible when intelligence is put to work.

Fuse Recruitment https://www.bullhorn.com/au/customers/fuse-recruitment-ai/ Sun, 09 Feb 2025 01:07:13 +0000 https://www.bullhorn.com/au/?post_type=case_study&p=78634

Fuse Recruitment, established in 2010, was founded with a vision to deliver recruitment services that equally address the needs of both candidates and businesses. The Fuse team specialises in sourcing talent for roles across various sectors, including insurance, wealth management, manufacturing, infrastructure, and utilities throughout Australia.

A process problem

For a recruitment agency built on relationships, Fuse had a process problem. Most of their consultants’ time was being consumed at the very top of the funnel. Doing activities such as sourcing large candidate volumes, conducting screening calls, writing job ads, updating CVs, and chasing candidates who had gone quiet. The candidates at the bottom of the funnel, the ones actually ready to place, weren’t able to be prioritised.

“We’re spending 80% of our time doing that (lower level tasks) and only twenty percent of that time doing what adds value,” said Mathew Westcott, Managing Director at Fuse Recruitment.

Screening candidates became one of the biggest bottlenecks. It was time-heavy, inconsistent, and often deprioritised when desks got busy. The result was a lot of activity with very little forward momentum.

Database visibility compounded the problem. Fuse had years of strong candidate data sitting in Bullhorn, but traditional Boolean and keyword search meant the same familiar names kept surfacing. When qualified candidates with non-linear career paths or different terminology remained unseen.

Fuse didn’t try to fix consultant behaviour. They fixed the process by combining Bullhorn Amplify, Search and Match, and Automation to eliminate bottlenecks at every stage of the funnel.

Flipping the funnel through AI screening and Automation

Fuse solved this by combining AI-assisted screening in Amplify and Automation to create a process that runs without consultant involvement until it’s genuinely needed.

When a candidate applies or is identified, AI-assisted screening handles the first layer of qualification automatically. Amplify then steps in to summarise and structure the insights from that screening into a consistent, easy-to-read candidate profile that is scored and ranked so consultants can immediately see who needs their attention. Automation carries the process forward: updating the candidate record in Bullhorn, moving suitable candidates to the next workflow stage, and sending alerts to consultants only when human judgement is required.

The framework is fully customised by role type. For blue-collar positions, screening covers practical qualifications looking at key factors like availability, licences, safety certifications, and site readiness. For white-collar roles, it goes deeper, probing breadth of experience, scope of previous responsibilities, and decision-making capability. The questions and experience differ, but the underlying process is the same.

The result is that candidates keep moving forward even when consultants are focused elsewhere. Only the right candidates who are qualified, engaged, and ready to move surface for consultant outreach.
“AI captures and scores the details; automation is just the next step, and then recruiters only step in now where the data is cleaner, clearer, prioritised,” said Westcott.

My goal is to increase efficiency and speed to market while making workflows easier. If Bullhorn's AI features have given back 15 hours a week across 40–50 consultants, that's a significant amount of time.
Mathew Westcott Managing Director, Fuse Recruitment

800% uplift in completed screens

By removing the friction from screening and follow-ups, the volume of screens completed has increased dramatically. Candidates who fit the criteria move forward automatically; those who don’t are filtered early. “Now, we’re screening and qualifying in a quarter of the time. So less experienced consultants are servicing more tasks,” said Westcott.

Roughly 80% of consultant effort now sits at the bottom of the funnel. Candidates are actively progressing and clients ready to move rather than being absorbed by top-of-funnel admin.

Finding the unseen candidates through Search and Match

Rather than building complex Boolean strings, consultants now search in plain English, for example “Find me an insurance broker with Tier One qualifications in Geelong.” Amplify ranks candidates by relevance and reruns the search daily as new candidates enter the database, so strong matches are never missed just because the timing was slightly off.

“We’re actually reaching back to those people now, pulling people out of the database that we just hadn’t seen in a very long time,” said Westcott.

56% of placements now come from the Bullhorn database

Search and Match has driven approximately a 25% uplift in successful shortlists and role outcomes, a figure that continues to climb as adoption increases. “When the list came to the top five or six, they were top five or six really qualified,” said Westcott.

Giving time back through custom prompts and Amplify

Each consultant now has an AI assistant embedded directly inside Bullhorn, handling the administrative tasks that used to pull them away from clients and candidates. Bullhorn Amplify helps consultants to write job ads, improve candidate CVs, summarise profiles, drafting outreach, and documenting reference checks. Custom prompts ensure every output follows Fuse’s preferred structure, tone, and quality standards providing consistently, across every desk.

“We now have a resource that can write profiles and handle tasks efficiently. A consultant can ask it to review 15 candidates, call them, determine their suitability, and update CVs with minimal effort or interaction. Plus, it ensures consistency in the quality of what we’re delivering,” said Westcott.

Saving 15 hours per consultant, per week

Custom Amplify prompts and automation have removed sustained admin burden from day-to-day workflows. “They’re able to work on more roles now because they’re just getting through the process so much quicker,” said Westcott.

It [Amplify] is exactly what our consultants have been asking for — their own assistant that gives them the support they've always wanted, without adding cost to the business.

TwoScots Recruitment https://www.bullhorn.com/au/customers/twoscots-recruitment/ Mon, 30 Sep 2024 02:07:13 +0000 https://www.bullhorn.com/au/?post_type=case_study&p=78050

TwoScots Recruitment, established in 2010 by two Scottish founders – Jason Sellyn & Jeremy Cowen – was built on the ethos of doing things a “wee bit” differently. Their approach is rooted in not taking themselves too seriously, having, and creating long-term relationships with candidates and clients. Specialising in recruitment for Senior Accounting, Qualified Accounting, Accounting Support, Payroll, and Business Support roles. TwoScots Recruitment continues to grow and share their brand. We chatted with the team at TwoScots to discover how they adopted Bullhorn Automation after undergoing a brand refresh, to successfully impact their marketing activity.

The Challenge

Before adopting Bullhorn Automation, TwoScots Recruitment had no email marketing strategy. The agency was unsure about their data quality, meaning they were hesitant to contact their candidates en masse. Plus, there were concerns as to whether their team could handle a potential influx of candidates from any campaigns.

Despite these concerns, the TwoScots Marketing Manager started experimenting with Mailchimp to contact candidates. Although Mailchimp brought some success, it wasn’t equipped to serve the agency’s specific recruitment marketing needs. “The issue was that Mailchimp was a disparate system. It was very manual and often it was hard to measure ROI or other tangible results for us”, explained the team.

TwoScots Recruitment recognised a need for a more integrated solution which could work alongside their existing Bullhorn ATS/CRM platform. During a conversation with their Bullhorn Account Manager, TwoScots Recruitment saw the power of Bullhorn Automation and chose to implement it for their agency.

It's changed the way people work in that they see actionable and real results from our marketing channels. Our recruiters are also able to come to us and be more proactive.
Twoscots Recruitment

The Results

Since implementing Bullhorn Automation, TwoScots Recruitment has seen significant improvements to their recruiting and marketing processes. All recruiting and automation tasks are performed in one platform. This means Marketing and Management teams can accurately track ROI from their various marketing campaigns. “We are seeing placements come through every month. We’re seeing jobs come through every month. This is all visible from our platform”.  Automation has not only increased their marketing output but also ensured data cleanliness and usability. Their high-quality data has enabled TwoScots Recruitment to develop and execute a thought leadership strategy using their own data. According to TwoScots, “It massively increased our capability to have data that’s usable for the consultants, as well as being able to put out actionable marketing and thought leadership based on our own data”.

The results of TwoScots marketing efforts highlight that reaching this scale of email marketing activity would have been impossible without Bullhorn Automation. In the last 90 days alone, they have executed 70,000 automations. “It’s changed the way people work in that they see actionable and real results from our marketing channels”, they said. “Our recruiters are also able to come to us and be more proactive.” Consultants are now proactively seeking marketing campaigns as they recognise the tangible value of Bullhorn Automation.

The Future

Looking ahead, TwoScots Recruitment has ambitious growth plans. They want to keep growing and sharing their brand with as many candidates and clients as possible.  Bullhorn Automation will continue to play a crucial role in this growth plan, providing the data-driven insights and automated processes necessary to support their operations

Miller Leith https://www.bullhorn.com/au/customers/miller-leith/ Mon, 30 Sep 2024 02:07:13 +0000 https://www.bullhorn.com/au/?post_type=case_study&p=77935

Miller Leith is a recruitment agency providing integrated talent solutions across specialist recruitment, people development, HR consultancy and outplacement services. They serve a diverse range of clients, from tier-one industry leaders to niche household brands and independent labels.

Over the past 12 years, Miller Leith has built lasting relationships and provided expert insights to the FMCG, retail, manufacturing, industrial, and not-for-profit sectors. The company’s integrated talent helps their clients and candidates alike to navigate today’s complex employment landscape. The 41 staff strong team sits in three offices over Sydney, Melbourne and The Gold Coast.

With a diverse portfolio of offerings that includes both permanent and temporary recruitment, a dedicated career consulting arm, and an HR consulting organisation, Miller Leith is designed to meet the varied needs of the industries it serves. Miller Leith operates seamlessly across all three divisions of its business using Bullhorns systems, allowing them to provide tailored, high-service recruitment solutions. We connected with Candice Powell, Group Continuous Improvement, Compliance, and Risk Manager, and Joe Sette, Founder and Chief Operating Officer of Miller Leith, to dive deeper into their business journey.

The Challenge

Throughout their 12-year journey, Miller Leith explored several different CRM systems to find the best fit for their growing team. Initially, they partnered with a large CRM company. However, as a startup, they quickly realised that the provider’s focus on bigger accounts left their needs unmet. As they grew, they then transitioned to an industry known platform. ‘’This was a very basic product with no bells and whistles, and there was no prominent AI in the market at the time. It was simple and served us pretty well from a job flow perspective’’, said Sette. After a while, it was decided that there was a need for features which were crucial for improving efficiency, such as a smoother onboarding process and automated reporting systems, which up until now, had been manually downloaded each week.

We were really looking for a quality system that could do everything we needed.
Joe Sette Founder and Chief Operating Officer, Miller Leith

The Solution

After reassessing their options, Miller Leith ultimately decided on Bullhorn due to the need for quality. This decision was driven by Bullhorn’s proven ability to adapt to a fast-evolving landscape, including quickly incorporating new tech and innovations by either purchasing these add-ons or creating partnerships with relevant companies. “What drew us to Bullhorn was how easily it integrates with the platforms we use and how customisable it is,” Powell explained. Bullhorn continuously stood out for its flexibility, customisability, efficient job flow management, and capability to integrate new features allowing the Miller Leith team to handle internal customisations without wasting time reaching out to customer service or support for minor changes. Unlike previous platforms, which required lengthy customisation processes or external support, Bullhorn allows the team to handle customizations internally, making it a more flexible and responsive solution.

The implementation process was smooth and efficient. The initial setup and data transfer were well-managed, and was supported by a two-day in-person training session provided by Sue Braithwaite from Kyloe Partners, Bullhorn’s longest standing Systems Integrator Partner. After a previous failed implementation with another platform, Miller Leith approached this rollout cautiously. They felt the Bullhorn team delivered clear and transparent communication throughout the process. The support from both Bullhorn and Kyloe ensured any challenges were swiftly addressed, leading to a seamless transition.

The Results

Since implementing Bullhorn, Miller Leith has seen significant progress in its operations. The platform’s advanced reporting capabilities allow real-time tracking of key metrics, including time-to-fill and improved conversion rates for jobs. Automation has played a significant role, streamlining tasks such as candidate communication, compliance management, and data cleansing—processes that would otherwise be too time-consuming.

“Automation has had a much greater impact than most consultants in the business realise,” explained Powell. “We were able to complete a big data cleanse of tens of thousands of candidates that feasibly no one in the business would be able to spend that time on.”

In addition to improving efficiency, Bullhorn Automation has helped ensure compliance with industry standards and internal policies. Many of the reminders and simple checkbox tasks like candidate coding and consent form management have complex systems behind them and most consultants don’t realise how much time they are saving. ‘’These are now automated, freeing up recruiters to focus on sales and relationships’’, remarks Powell.

Working alongside the Bullhorn team has been a smooth process every step of the way. Sette commented, “Anna, our Account Manager, genuinely cares. She often calls to discuss what is on the horizon for us. Her passion for Bullhorn makes it easy to have these conversation with her which focus on how decisions will impact the business from a recruiters perspective.’’

“I’ve had a lot of communication with Matt Emmerson in Customer Success, who’s given valuable suggestions and insights, especially when dealing with team adoption issues. If there are concerns, Matt offers helpful perspectives to improve the situation” added Powell.

The Future

Miller Leith’s short-term focus is on slow, sustainable growth, particularly in its HR consulting business, which has recently been integrated into Bullhorn. As the company expands its operations in Sydney, Melbourne, and the Gold Coast, Bullhorn will play a critical role in supporting that growth.

Looking ahead, Miller Leith expects 70% of its long-term growth to come from other states, with key focus areas being the Gold Coast and Sydney. They’ve also launched a tech and IT division, signalling new opportunities for the future.

Powell’s role as Continuous Improvement Manager will be central to ensuring that Bullhorn continues to drive efficiency and automation across the organisation. With an eye toward enterprise-wide improvements, Miller Leith remains committed to leveraging Bullhorn’s latest innovations to enhance business performance.

Key Learnings

For companies considering Bullhorn, Miller Leith offers the following advice:

  1. Implementation Team: Ensure you feel confident in the team implementing the system. A dedicated integration arm, separate from the sales team, creates a conflict-free, smooth process.
  2. Expertise and Transparency: Look for a partner with deep industry knowledge and transparent communication. Bullhorn’s team provided straightforward answers based on their experience in recruitment.
  3. Thorough Testing Process: Commit to a thorough testing phase. Unlike previous CRM rollouts, Bullhorn’s testing was detailed, ensuring the system met all requirements before going live.

Bullhorn continues to play a crucial role in Miller Leith’s future growth, and the team remains excited about what’s next.
