But even the most powerful technology can only take you so far unless it’s built on a strong foundation: a clean database.

A meticulous approach to your data, combined with the power of AI and automation, can elevate your business to unprecedented heights. Below, read insights from a conversation between Bullhorn experts Erik Mateev, Kat Lazzaro, and Tom Washington on building a clean database – and the tools you can lean on to keep it that way.

The unseen impact of dirty data

Data hygiene, at its core, is about ensuring your database contains information that is clean, accurately formatted, and complete. It’s about having all the right information exactly where your team needs it to succeed.

Why is this so crucial, especially now?

  • Speed and efficiency: Incomplete records cripple your team’s ability to work with data. Searches become less effective, automations stumble, and even your analytics can produce skewed results.
  • Trust and adoption: If your recruiters don’t trust the data, they’ll abandon your ATS and resort to external sources – often rediscovering information you already own, leading to wasted time and unnecessary costs.
  • Enhanced business processes: Clean, complete profiles enrich your understanding of candidates, clients, and jobs. This improves everything from business development to the core recruitment process, making everyone’s life easier.

The recruitment market is undeniably tough. Our annual GRID Industry Trend Reports have revealed a steady decrease in revenue growth for agencies since 2022. Companies are cautious with hiring, and candidates prioritise job security. Yet, some agencies consistently outperform the market.

What’s their secret? They’re focused on improving candidate experience, matching talent to jobs more effectively, and drastically reducing time-to-fill. They’re achieving this by upgrading their technology, particularly in automation and AI.

Automation: The engine of clean data

Poor workflows and manual data entry are notorious culprits behind bad data. Recruiters, understandably, prioritise revenue-generating activities over admin tasks. This is where automation becomes your secret weapon.

Consider these game-changing automation use cases:

  • Automated status updates: Instead of relying on individual recruiters to manually update candidate or sales contact statuses, build business rules within your automation platform. For instance, if a candidate hasn’t had a note or submission in a set timeframe, their status automatically shifts from ‘active’ to ‘passive.’ This removes subjectivity and ensures consistent data.
  • Consolidating candidate skills: Recruiters often input variations of the same skill (e.g., “Java,” “J2EE,” “Javascript”). Automation can standardise these, consolidating them under a singular, uniform skill. This makes searching for talent significantly easier and more accurate.
  • Self-service data hygiene: A significant portion of your ATS candidates might be “dead” – their information is outdated, rendering them effectively unreachable. You can leverage automation to build lists of these dormant candidates (e.g., last note date over 24 months ago, no submissions, never placed). Then, launch an automated engagement campaign, sending surveys that prompt candidates to update their resumes or missing contact details. This maximises your existing investment in candidate acquisition and reactivates valuable talent. Traditionally, uncontactable candidates were archived, but with AI, that’s no longer the only option.

AI: Beyond automation – enriching and optimising

While automation handles the “how,” AI takes on the “what,” “where,” and “why.” Recruitment AI tools are capable of going beyond simple rule-based actions to intelligent data enrichment and optimised matching.

Here are a few powerful ways AI is transforming data hygiene and recruitment:

  • Enriching candidate and job data: Many ATS records are missing critical information (e.g., candidate email, phone number, current employer, or job salary, start date). This data often exists elsewhere in your system, like in a candidate’s CV, but isn’t parsed into the correct fields. An enrichment agent can automatically extract this information from places like the CV and populate the right fields. This instantly makes previously uncontactable candidates reachable, dramatically improving searchability and recruiter engagement. Think of it in two phases. Phase one cleans up what you already have, and phase two then leverages automation for re-engagement campaigns, asking candidates for fresh details directly.
  • Creating intelligent candidate summaries: Recruiters spend precious seconds (four to seven, on average!) scanning CVs to assess fit. This approach risks missing great candidates or pursuing unsuitable ones. With AI, you can create a new data point: a concise candidate summary. This summary, generated by an AI enrichment agent, pulls key information from the CV and other relevant fields to provide a snapshot of a candidate’s strengths and ideal job types. This summary can be prominently displayed at the top of the candidate profile, accelerating candidate review and improving recruiter efficiency. It also provides a pre-built summary for client pitches, further streamlining workflows. This is scalable; the AI runs continuously in the background, summarising every new candidate.
  • Optimizing search and match: The biggest blocker to internal database usage is often trust in the data. Search and match technology tackles this head-on by fostering a “database-first” mindset. Here’s how:
    • Intelligent search construction: Search and match takes key job information, expands it with synonyms, and builds a complex Boolean search.
    • Machine learning ranking: Results are then passed through a machine learning model trained on billions of data points. This model understands historical ideal candidate profiles for specific job types and ranks candidates based on actual outcome-specific data, not just keywords.
    • Convenience and efficiency: The top 10 recommended candidates are surfaced directly within the job record, providing instant insights. Recruiters can expand this search to see all matched candidates, ranked for their convenience. Crucially, if they do need to go to external sources for candidates, search and match technology replicates the search across integrated job boards and highlights candidates who already exist in your Bullhorn database, preventing duplication and wasted spend.

Your path to staying ahead of the curve

By embracing robust data hygiene practices, leveraging automation to streamline workflows, and deploying AI to enrich data and optimise matching, you’re not just solving existing challenges – you’re differentiating your business and staying ahead of the curve. It’s about empowering your recruiters, maximising your existing talent pool, and ensuring your business is ready to thrive in the future of recruitment.

  • AI Assistant on Contact record:  Bullhorn’s AI Assistant is on the Client Contact record. This new entry point to AI Assistant allows users to get the assistance they need while on the Contact record, rather than having to start from a Candidate or Job, helping save them time. Bullhorn’s new integration with LinkedIn Apply Connect just made recruiting easier https://www.bullhorn.com/uk/customer-blog/bullhorns-new-integration-with-linkedin-apply-connect-just-made-recruiting-easier/ Fri, 04 Apr 2025 08:00:34 +0000 https://www.bullhorn.com/uk/?post_type=customer_blog&p=81440 At Bullhorn, we’re always looking for new ways to innovate and invest in our platform to streamline recruitment for our users, their candidates, and their clients.  Today, we’re excited to announce a new integration with our partner, LinkedIn: LinkedIn Apply Connect.

The LinkedIn Apply Connect integration will help streamline the application process and empower recruiters to work smarter, not harder. By bridging the gap between LinkedIn and the Bullhorn ATS, this integration delivers a seamless experience for both candidates and recruiters—reducing drop-off, boosting efficiency, and improving your bottom line.

A seamless candidate experience

Today’s talent are looking for simplicity and speed; according to Bullhorn’s most recent GRID Talent Trends Report, 80% of candidates expect to be placed in less than 20 days. With LinkedIn Apply Connect, job seekers can apply directly on LinkedIn via Easy Apply, with their application data automatically synced to the Bullhorn ATS in real time, eliminating friction in the application process. If your company is using LinkedIn Recruiter, your candidates receive automatic status notifications, ensuring transparency and keeping them informed throughout the hiring journey—boosting both satisfaction and trust in the recruitment process.

An easier recruiting workflow

For recruiters, this integration eliminates manual data entry, ensuring that every LinkedIn application is captured instantly in the Bullhorn ATS. With real-time job syncing, recruiters no longer need to manage job postings separately within LinkedIn. Any changes to job descriptions, status updates, or details in Bullhorn ATS are instantly reflected on LinkedIn, providing a single source of truth for all job postings.

A few benefits this integration brings for recruiters include:

  • Instant application syncing – No more manually adding candidates from LinkedIn.
  • Enhanced applicant insights* – View real-time LinkedIn profile data within Bullhorn ATS for better candidate evaluation.
  • Improved efficiency – Less administrative work means recruiters can focus on high-value tasks like candidate engagement and client relationships.
  • Automated candidate notifications* – Keep candidates informed automatically when their applications are viewed, resumes are downloaded, or decisions are made.

*Requires LinkedIn Recruiter license

A competitive advantage

In a recruitment landscape where every second counts, agencies leveraging Bullhorn’s LinkedIn Apply Connect integration gain a significant competitive edge. By reducing candidate drop-off, increasing recruiter efficiency, and offering an enhanced application experience, agencies using Bullhorn ATS will stand out from competitors still relying on fragmented, manual processes. Additionally, according to data from LinkedIn, Apply Connect attracts up to three times more qualified applicants compared to offsite applications.

Five real-life examples of Bullhorn AI Assistant in action https://www.bullhorn.com/uk/customer-blog/five-real-life-examples-of-bullhorn-ai-assistant-in-action/ Fri, 21 Mar 2025 09:00:37 +0000 https://www.bullhorn.com/uk/?post_type=customer_blog&p=81377 Many recruitment agencies are looking for practical ways to start implementing AI, going beyond the high-level discussions and AI hype we’ve all seen far too much of.

It doesn’t have to be a daunting process that requires you to hire a Prompt Engineer or AI Wizard.

Bullhorn’s AI Assistant is designed to be incredibly easy to implement – it enhances rather than disrupts processes, helps consultants use the CRM effectively, and reduces admin time. Unlike traditional rec-tech tools, it’s incredibly low cost and therefore doesn’t come with the pressure of needing immediate majority user adoption.

Ready to get started? Here are five ways you can start using AI in Bullhorn today:

1. Using Bullhorn AI Assistant to summarise profiles

From within the candidate entity, the AI Assistant can summarise candidate profiles quickly and effectively. Out of the box, this can be done as a quick list of bullet points, which is great for reminding yourself of someone’s key expertise or for including in a message.

If you need a more tailored approach, you can create a custom prompt to generate a concise one or two-paragraph summary. Could this speed up your processes for creating cover sheets for CV send outs? Could this help remind you of the experience you should highlight when on the phone with a potential hiring manager?

2. Using Bullhorn AI Assistant to suggest other job titles to include in a search

If you use SourceBreaker by Bullhorn, you might already be familiar with the AI-powered query builder. However, when starting a new search, you want the search to be as broad as possible while remaining relevant. Do you know every job title you should include in the search? How could you research alternative job titles that could be relevant?

Using the custom prompt builder in the AI Assistant (within the job entity), we can create a prompt that, with the click of a button, will suggest additional job titles to include. By creating a custom prompt with the perspective of an experienced recruiter who specialises in your industry, you can clear mental blocks and uncover alternative titles. This is especially helpful when exploring new markets or dealing with clients who use creative or unconventional job titles.

3. AI-anonymised candidate summaries

One of my favourite things about Bullhorn is its seamless integration with brilliant Marketplace partners. One example is HireAra (sitting in the candidate entity), a tool we use to elevate how we present candidates and call out key information for hiring managers to make their review efficient.

HireAra also allows you to create custom prompts that utilise the CV content, including anonymising details like company names, educational institutions, and other identifying information to quickly and reliably create specs. Not only does this help save time for our consultants, but it also promotes consistency and automatically saves the formatted CVs directly back into Bullhorn, streamlining the process (and reducing friction for consultants).

4. Writing rejection messages

Rejection messages are a critical yet often overlooked part of the recruitment process. Tailored, considerate rejection messages improve the candidate experience and ensure applicants aren’t left in the dark. A poor candidate experience doesn’t just affect the candidate; it often spreads through word of mouth, damaging your employer brand. Worse still, many candidates may also be your customers – risking not just reputational harm but potential sales as well.

Using Bullhorn AI Assistant in the candidate entity, you can generate thoughtful, relevant rejection messages that can be refined further with meeting notes, interview feedback, and call details. This approach makes the process faster, reduces the barrier to sending personalised feedback, and ensures candidates are treated respectfully.

5. Custom prompts – letting your creativity run wild

Custom prompts allow you to fully leverage Bullhorn AI Assistant in much the same way as ChatGPT, but within your CRM. This motivates consultants to stay in the system and helps ensure that data isn’t shared irresponsibly.

It also removes the need for outdated templates as more relevant ‘first drafts’ can be created in seconds. By utilising the rich data already in Bullhorn, you can enable consultants on the desk to create tailored AI-powered prompts on the go that address specific needs and workflows.

Getting started

You might be thinking, “Our data isn’t good enough for this.” However, tools like Bullhorn AI Assistant provide an excellent incentive for consultants to take more ownership of data and help to improve data quality.

The best time to get started is now! Remember, AI should be used as a tool, and our recruiters should feel empowered by it. When recruiters see the tangible benefits of having better data, they’re far more motivated to keep the CRM updated and accurate.

Bullhorn AI Assistant makes it easy to start making a real impact on user experience and consultant productivity. Implementing AI doesn’t have to be complicated.

Talent Platform

  • Tax form updates: We have updated eleven 2025 US Tax Forms. For the full list, please visit the Product Release Portal.
  • E-Verify further action notice (FAN) process: We’ve streamlined the E-Verify Tentative Non-Confirmation (TNC) process by integrating the FAN workflow directly into Talent Platform. Recruiters can send the TNC FAN to candidates from the E-Verify details panel, eliminating the need for manual intervention outside Talent Platform. Candidates will receive a task in the candidate portal, allowing them to take action. The signed FAN will be accessible in workforce manager, ensuring clear audit tracking and compliance.
  • Date formatting: Enhanced the workforce manager to support date formats based on customer location and user preferences, ensuring consistency in key areas of the platform. Users can now customise their date format through the Account settings in the upper right corner of the workforce manager. The system prioritises the user’s selected format first, followed by the default format for their location, providing a seamless and regionally appropriate experience.

Submit quality candidates faster by automating your VMS business https://www.bullhorn.com/uk/customer-blog/submit-quality-candidates-faster-by-automating-your-vms-business/ Wed, 26 Feb 2025 09:00:39 +0000 https://www.bullhorn.com/uk/?post_type=customer_blog&p=81260 The nature of recruiting is evolving dramatically with the rise of AI and automation to augment or replace tedious recruiting tasks – and the VMS recruiting process is no different. Many agencies want to automate every step of their VMS workflow to increase speed to market and see efficiency gains. From automatically syncing VMS jobs to the ATS to finding the best candidates to submitting candidates to VMSes all in one place, here’s how you can best leverage automation and AI agents and assistants to turn recruiter productivity into profitability for your VMS business.

Lay the foundation with VMS job automation

Sync your VMS jobs to your ATS so that you can simply see the job come in and not waste any bandwidth on making sense of each VMS job, all while Bullhorn automates VMS jobs in the background. Bullhorn VMS Sync captures VMS jobs data and creates a job record in your ATS. VMS Sync then normalises the VMS data so it contextualises jobs across all VMSes, so everything looks the same regardless of which VMS the job is coming from. Have the information you need coming in where you expect it to be, with VMS Sync mapping VMS fields to ATS fields and applying business rules and routing logic your admin can set.

Source, screen, and qualify candidates with AI

Spend less time searching for qualified candidates and more time building relationships with the best ones with AI. AI agents automatically enrich each job, build the public job description, categorise the job by AI, and automatically add screening questions. Then, AI agents automatically build search queries and match candidates to the job using our machine learning models. From there, automation engages with and sends personalised messages to candidates. Then, those candidates are screened by an AI agent, and the ones who are the best fit for the role are invited to book time on a recruiter’s calendar.

The last mile: Submit candidates faster to your VMS

Bullhorn is committed to fully closing the ATS-VMS loop by deepening VMS Sync Submittals functionality. In addition to continuing to support new integrations for VMS candidate submissions and innovate on VMS Sync jobs, we’ve added three new features based on customer feedback to submit candidates faster.

1. Enhanced submittal mapping

Get as close as possible to a 100% submission form completion to reduce manual work and reduce copy/paste from your ATS to VMS. We’ve greatly expanded this so an admin can map any ATS field on the company, job, or candidate to the client submission form, which is especially useful if you’ve done a lot of custom work to your ATS.

2. Auto-populate based on last submission

Reduce repetitive data entry, typos, and speed up the submission process when auto-populating based on last submission. When you’re in the ATS to submit a candidate, it’ll alert you that we’ve found a previous submission. You can choose to start from scratch or use the same exact data that you submitted a few days or hours ago.

3. Draft submissions

If you have an account manager who must review every submission before getting the candidate over the VMS, recruiters can quickly create a draft submission. This draft submission can then be slotted in a queue for the account manager to quickly review and then push off, ensuring you’re submitting your candidates correctly to increase the likelihood that your candidate submissions are accepted.

With AI agents and assistants amplifying your workforce, you can accelerate speed to market, boost recruiter efficiency, and strengthen strategic VMS relationships.
